Smart check-in: check people in, then send them onward

Smart check-in lets one tap do two jobs at once. When someone taps your chip or scans your QR code, Churchday checks them in for the service you chose, then forwards them to whatever link is live, all in a single tap. It is perfect for a welcome table where you want to count who is there and still hand people a schedule, a giving page, or an event sign-up.

Before you begin

  • You need permission to manage Tap & Scan (an admin, or someone who has been given the Tap & Scan area).
  • You need at least one published event with check-in turned on. Without one, Smart check-in stays switched off.
  • You need a real link made live. Smart check-in only runs when a link (an event, page, form, giving, or custom web address) is live, not when your Church page or plain check-in is live.

Step-by-step

  1. Go to Tap & Scan. Open it from the dashboard menu. The Live now card at the top shows where your link currently points.
  2. Make a link live. In the Tap to make live list, click the row for the destination you want people to land on after they check in. See Switch where your tap link points if you have not added a link yet.
  3. Pick the check-in event. In the same list, the Check people in row has a small event button showing an event name and date, or Pick an event if none is chosen. Click it and choose the service you want to record attendance for.
  4. Turn on the switch. Scroll to the Check in section and find the Smart check-in card. Click its switch so it turns on.
  5. Confirm it is working. The Live now card now reads Check in first, then open, followed by your live destination. That combined line means every tap will check people in, then move them along.

What people see on their phone

When someone who is signed in or recognized on their own phone taps, a welcome screen greets them by name, quietly records their check-in, and shows a Continue button. When they tap Continue, Churchday sends them to the live link. If the same person taps again later that day for the same service, they skip the welcome screen and go straight to the link.

Which event people check into

Smart check-in always uses the service you picked in the Check people in row. That pinned event is used while it is still upcoming. If your pinned event has already passed, Churchday quietly falls back to the soonest upcoming check-in event instead, so a tap never lands on a stale service. The target also rolls over on its own at midnight, so a weekly service moves from this week to next without you re-pinning it.

Good to know

  • Smart check-in needs a live link to do anything. If you switch back to your Church page or make plain check-in live, taps behave normally and skip the combined flow.
  • No eligible event means the card is greyed out. With no published event that has check-in, the card reads "Turn on check-in for a published event to use this," and the switch cannot be turned on.
  • Turning the switch off is instant. Taps go back to opening the live link directly, with no check-in step, starting on the very next tap.
