Setting Up Teams and Assigning Roles
Teams are your serving groups, like a Worship Team or a Setup Crew. Inside each team you create roles for the specific jobs people do, then assign the right people to each one. A person can hold more than one role.
Before you begin
- You need access to the People area of your church.
- It helps to know which serving jobs your team needs before you start, but you can always add more roles later.
Create a team
- Go to the People page in your dashboard.
- Open the Teams tab along the top of the page.
- Click New team. A pop-up window opens.
- Set the icon and name. In the Icon & Name field, click the icon to pick an emoji, then type the team name, for example "Worship Team".
- Add a description (optional). Use it to note what the team does.
- Click Create team. Your new team appears in the list.
Add roles to the team
Roles are the jobs inside a team, and you create them yourself. There is no built-in "Member" role, so a brand-new team starts with none. The Roles section reads "No roles yet. Add one to start assigning people."
- Open the team by clicking its name in the list.
- Find the Roles section near the top of the team page.
- Click Add role. A pop-up window opens.
- Set the icon and name. In the Icon & name field, pick an icon and type the role, for example "Guitar", "Teacher", or "Usher".
- Click Add role. The role appears as a card showing its icon, its name, and how many people hold it.
Repeat for every job the team needs.
Assign people to a role
Each role is a card you can click to manage who fills it.
- Click a role card. A pop-up window opens showing everyone currently in that role.
- Search and add people. Use the search field to find a person and add them. People already on the team appear first, under On this team, but you can add anyone in your church. Adding someone who is not on the team yet puts them on the team too.
- Add everyone at once (optional). When no one holds the role yet and the team already has members, click Add everyone on the team to assign all of them in one step.
- Click Done when you are finished.
You can also set roles one person at a time from the members list below. In the Role column, each person has a button that reads Add role when they have none, the role name when they have one, or "N roles" when they have several. Click that button to open a checklist of the team's roles, tick the ones the person fills, and click Save.
Edit or delete a role
- Click the role card, then click Edit role at the bottom of the pop-up window.
- Rename it or change its icon in the Icon & Name field, then click Save changes.
- To remove a role, click Delete role. This takes the role off everyone who held it, but those people stay on the team. Only the role goes away.
Good to know
- One person can hold several roles on the same team, so a musician who also teaches can carry both.
- Roles are free-form labels you write, not a fixed list, so name them however your church talks about the work.
- Removing a role never removes anyone from your people list. It only clears that label.
