Search, filter, and act on the whole list at once
The People page lets you narrow your list to exactly the people you want, then do one thing to all of them together, email them, tag them, change their membership, or export them. The key idea: bulk actions apply to everyone currently shown, so you search or filter first to build the list, then act.
Before you begin
- You need the Admin or Staff role to open the People page.
- The All tab is where searching, filtering, and bulk actions live. Open People in the sidebar and stay on All.
Step-by-step
-
Type in the search box. At the top of the list you'll see a box that reads "Search by name, email, or phone...". As you type, the list narrows instantly, it matches against each person's name, email, or phone number.
-
Click Filters for more precise lists. The Filters button opens a builder where you can stack conditions grouped into five categories: Person (name, gender, location, and more), Labels (tags, groups, and teams), Membership, Events, and Subscriptions. Add as many as you need to zero in on the right people.
-
Or click Ask AI to describe it in plain English. Next to Filters is an Ask AI button. Type something like "members who came to Easter but aren't in a group" and it builds the filter for you. You can review and adjust the result before it's applied.
-
Watch the count. Just below the search row, a count shows how many people are in the list. When you've searched or filtered, it changes to read "N people after filter", your cue that the list has been narrowed and that any bulk action will apply to just those people.
Acting on the whole list
There are no per-row checkboxes. Whatever the list shows after your search and filters is the group your action affects. Narrow it first, confirm the count, then pick an action.
-
Click Email to open the email composer already pointed at this filtered group of people.
-
Click the "..." button for the rest of the bulk tools:
- Export: downloads a spreadsheet file (CSV) of everyone currently shown, including names, contact details, address, tags, and notes.
- Add tag: applies a tag (existing or newly created) to all shown people.
- Remove tag: takes a tag off everyone shown who has it.
- Change membership: sets everyone shown to Subscriber or Member. This sends no email and can be changed back.
- Change subscription: turns email or text on or off for everyone shown.
- Delete permanently: removes everyone shown from your church, along with their tags, registrations, and activity history.
Good to know
- Double-check the count before any bulk action. Because the action hits everyone shown, a too-broad filter can tag or change more people than you intended. The "after filter" count is your safety check.
- Change subscription warns you before it re-subscribes anyone who previously opted out, since overriding their choice can break anti-spam rules. Only do it with fresh permission.
- Delete permanently cannot be undone. It's the only removal option on this page, and it wipes the person from your church entirely, not just from a tag or group.
- Export skips no one in the list. If you want a smaller file, filter the list down first, then export.
