Auto-Tagging People from Their Answers

A form can sort people for you. When someone picks a choice, Churchday can automatically apply a tag, add them to a group or team, and even fill in profile details like their phone number. You set this up inside each question, so nothing happens by accident.

Before you begin

  • You need admin access to your church's dashboard.
  • Create the form first. See Creating a Form.
  • If you want to apply a specific tag, group, or team, it helps to have it ready. You can also create a new tag on the spot.

Tag people based on the option they pick

Tagging works on choice-answer questions: Yes / No, dropdown, multiple choice, and checkboxes.

  1. Open your form from the Forms page and stay on the Edit tab.
  2. Add or edit a question in the Questions section. Click Add question, or Edit on an existing one, to open the question pop-up window.
  3. Pick a choice-answer question type, then add your answer options.
  4. Set the tag for an option. Under each option is a small control set to Add with a search box that reads "Apply tag, add to groups or teams." Click it, then search for the tag, group, or team you want. You can also type a new name and create a tag right there.
  5. Switch to Remove if you need to. Change the Add menu to Remove to instead take a tag off, or pull someone out of a group or team when they pick that option. This is handy for opt-out answers like "Please remove me from this list."
  6. Click Save (or Add question). Repeat for any other options.

From now on, anyone who picks that option gets those changes applied automatically when they submit the form.

Write an answer back to someone's profile

Some questions can save their answer straight onto the person's profile, so you are not retyping details they already gave you.

  1. In the same question pop-up, look for the Link to a member field box near the bottom.
  2. Choose the field this question should update. The list only shows fields that fit the question type. A short-answer question can link to first name, last name, email, phone, or address. A date question can link to birthday or anniversary. A dropdown can link to gender or marital status.
  3. Save the question. On submit, the answer also updates the submitter's profile.

For someone who is signed in, any linked field is pre-filled with what is already on their profile, so they can confirm or correct it instead of starting from scratch.

Good to know

  • Nothing is tagged unless you set it. A brand-new option has no tag attached, so answers do nothing until you add one on purpose.
  • One field per question. Each question can link to a single profile field. Add separate questions for separate fields.
  • Not every type can link. Checkbox, yes/no, long-answer, number, and multiple-choice questions do not show the Link to a member field box, so they cannot write back to a profile.
  • Tagging and linking work together. A single question can both apply a tag and update a profile field.
