Adding a Run-of-Show Schedule

A run-of-show is a simple timeline of what happens when: worship, message, lunch, Q&A. Adding one to your event lets guests see the plan for the day right on the public event page.

Before you begin

  • You need admin or staff access to create and edit events.
  • Create or open the event you want to add a schedule to.

Step-by-step

  1. Open your event's editor. From the Events page, open the event and choose to edit it. Scroll down to the Schedule section.
  2. Turn on Show a schedule. Flip the Show a schedule switch on. This adds a Schedule section to the bottom of your public event page, shown as a timeline.
  3. Choose Who can see it. A Who can see it setting appears with two choices: Everyone, or Only people going. Pick Everyone to show the schedule to anyone who opens the page, or Only people going to reveal it only to people who have marked they're attending.
  4. Add your first item. In the card below the switch, click Add time. A window opens where you fill in the Start time (required) and, optionally, an End time, a Title (required, like "Worship" or "Message"), a Description, a Location, and People in charge. Click Add time to save it.
  5. Add the rest of your timeline. Repeat for each part of the day. Each item you add appears in the card, and the timeline updates instantly in the phone preview next to the editor.
  6. Reorder or edit as needed. Drag any item by its handle to change the order, or click Edit on an item to change its details or remove it. Your changes show right away in the preview.
  7. Save your event. Save the event so your visitors see the schedule on the public page.

Good to know

  • If you choose Only people going but sign-ups are turned off, a note warns you that only you and other admins will see the schedule. To fix this, go up to the How people respond section and turn on Register or RSVP so people can mark they're going.
  • The People in charge field lets you search your church directory to link a person, or type any name or team that isn't in your directory.
  • On an event that spans more than one day, each schedule item also gets a Day picker so you can place it on the right date.
  • The Schedule section and the timeline it creates are just for showing the plan to guests. It does not assign anyone to serve.

Requesting volunteers is separate

Further down the editor, the Volunteers section has its own Request volunteers for this event switch. That is a different feature: it adds the event to the Schedule tab so you can assign people to serve. Turning on Show a schedule does not request volunteers, and requesting volunteers does not add a run-of-show to the public page. Use both if you want a public timeline and a serving team.
