Letting People Bring Guests

When people sign up for your event, you can let them bring others along, like a spouse, a friend, or their kids. This article shows you how to turn on guests, cap how many each person brings, and decide whether you just count guests or collect each one's details.

Before you begin

  • You need the admin or staff role to edit an event.
  • Your event must be collecting sign-ups. The Guests options only appear when How people respond is set to Register or RSVP (not No sign-up). If people can't respond, there's nothing to bring guests to.

Step-by-step

  1. Open your event and go to its editor. From the Events page, open the event and edit it. Scroll down to the Registration section.
  2. Set how people respond. Under How people respond, choose Register or RSVP. As soon as sign-ups are on, a Guests card appears just below.
  3. Turn on Allow guests. Switch on Allow guests. The description reads "Let people bring others when they register." This is what lets each registrant add plus-ones.
  4. Choose how many guests per person. Under Guests per person, pick Unlimited to let people bring as many as they like, or pick Limit to cap it. When you choose Limit, a small number box appears next to it. Type the maximum number of guests one person can bring (at least 1).
  5. Decide whether to collect guest details. Use the Collect guest details switch:
    • Left off, guests are just counted. You'll know how many are coming, but not who.
    • Switched on, the event asks for each guest's info, so you get a name (and more, if you want) for every person.
  6. Pick what's required for each guest. When Collect guest details is on, a Required for each guest list appears with three checkboxes: Name, Email, and Phone. Tick the ones every guest must provide. The first time you turn on detail collection, Name is ticked for you so you're never collecting nothing.
  7. Save your changes. Use the Save button at the top of the editor. Your guest settings now apply to everyone who signs up.

Good to know

  • Guests count toward your attendee limit. If you've set an attendee limit, each guest fills a spot too. Plan your limit with plus-ones in mind. See Managing capacity and waiting lists.
  • Counting vs. collecting is your call. For a casual gathering, leaving Collect guest details off keeps sign-up quick. For a meal, a class, or anything with name tags, turning it on gives you a full guest list.
  • Only ticked fields are required. A field you leave unticked simply isn't asked of guests. Name is the safest one to require so you know who's attending.
  • Guests show up with the main registrant. When you review who's coming, each person's guests appear alongside their sign-up. See Managing your attendees.
