Managing Capacity and Waiting Lists
If your event has limited space — like a small group dinner or a retreat — you can set an attendee limit. Once the event fills up, additional people are placed on a waiting list.
Before you begin
- You need the Admin or Staff role.
- The event must have Require registration turned on.
Setting an attendee limit
- Open the event and go to Settings, or set this up while creating a new event.
- Turn on Limit attendance. Under Event Settings, toggle on Limit attendance.
- Enter the maximum number. Type the most people you want to allow.
- Save the event.
How the waiting list works
- When someone registers and the event is full, they are automatically placed on the waiting list with a "Waitlist" status.
- On the public event page, visitors see how many spots are left. When full, the registration button changes to Join Waitlist.
- A progress bar shows the current registration count compared to the attendee limit.
Viewing your attendee and waiting lists
- Open the event and click the Attendees tab.
- You will see stats at the top: Registered, Checked In, Waitlist, and Capacity.
- Each person shows a status badge — Confirmed or Waitlist.
Good to know
- If you increase the attendee limit later, people on the waiting list are not automatically moved to confirmed. You may need to manage this manually.
- The capacity progress bar turns a warning color when you reach 90% of the limit.
- If you do not set an attendee limit, the event shows "Unlimited" for capacity.
