Attendance for recurring services and correcting check-ins
For a repeating service like a weekly Sunday gathering, Churchday keeps attendance separately for each date. This article shows you how to view who came on a given week and how to check someone in or out by hand.
Before you begin
- You need the Check-in permission (part of the admin and staff roles).
- Check-in must be turned on for the event. If it is off, you won't see the check-in boxes or the Checked in count.
Step-by-step
- Open the event. From your dashboard, go to the Events page and select the service you want.
- Go to the Attendees tab. This lists everyone signed up and shows the summary counts at the top, including Registered and Checked in. (On a casual RSVP event, the first count reads Going instead of Registered.)
- Pick the service date. For a repeating event, use the date stepper at the top of the page, next to the event title. The left arrow (‹) steps back one week and the right arrow (›) steps forward. Each date has its own separate attendance, so the list and counts update to match the week you're viewing.
- Check someone in by hand. Tap the square box on the right of a person's row. It turns green with a checkmark, and the Checked in count goes up. This is recorded as a manual check-in for the date you're viewing.
- Undo a check-in. Tap the green box again. The checkmark clears and the count goes back down. Use this to fix someone who was checked in by mistake.
Your changes save on their own, so there is no separate save button.
Good to know
- Attendance is per date. Checking someone in for one Sunday does not affect any other Sunday. Always confirm the date stepper shows the week you mean before you tap.
- Live updates. As people arrive and check themselves in at a kiosk or QR code, they appear on this list automatically, with a brief highlight. You don't need to refresh the page.
- Cancelled weeks are closed. If you cancel a single occurrence of the service, self check-in for that date is turned off. Anyone who tries to check in at the kiosk or QR code sees "This event is cancelled today."
- The check-in box only shows for people on file. It appears next to attendees who are linked to a person in your directory. It also disappears for anyone marked cancelled.
- Watch your attendance trend. Once a repeating service has two or more dates with check-ins, an Attendance chart appears below the counts. It shows the latest week's number, how it compares to the week before, and a line of recent services so you can see whether attendance is rising or falling.
