Reviewing Events Members Submit
Members can build an event in their own personal workspace and ask to add it to your church's calendar. This article shows you how to find those submissions and approve or decline them.
Before you begin
- You need permission to edit events (the same access you use to create and publish events). Only admins with that access see submitted events and can approve them.
- Only the church a request was sent to can review it. A submission addressed to another church won't appear for you.
Step-by-step
- Go to the Events page. Open Events in your church dashboard. Any pending submissions show in a Requests section at the very top of the list, marked with a clock icon. The number in parentheses, like Requests (3), is how many are waiting.
- Open a request. Each card shows the event title, Requested by the member's name, and the event date. Click a card to open its review page.
- Review the event. The review page opens the event in the same editor and phone preview the member used, with a Requested by badge showing who submitted it. If they left a note, it appears in quotes just below the title. You can adjust any details here before you decide, and your changes save the same way they would on any event.
- Approve or decline. Use the buttons at the top right of the review page.
- Click Approve to add the event to your calendar.
- Click Decline to turn it down. A pop-up window lets you add an optional note for the member explaining why, then click Decline event to confirm.
What happens when you approve
- The event moves into your church and is published on your calendar right away.
- It shows Hosted by the member's name, with your church listed as co-host.
- The member keeps access to the event from their personal home page and can still edit it.
- The member is automatically registered as Going on their own event.
- The member is emailed your decision. (Declining emails them too, along with any note you added.)
Good to know
- Declining doesn't delete anything. The event stays the member's own in their personal workspace, so they can adjust it and send it to you again later.
- Already-decided requests are read-only. If you open a request that was already handled, you'll see a short notice like "This request was already approved" instead of the editable review page.
- If the member changed or moved the event after submitting it, approval may stop and ask you to have them send it again. This keeps you from adding an event that no longer matches what you reviewed.
