The Post-Event Recap Email

When one of your events wraps up, Churchday sends you a short email the next morning that sums up how it went: how many people signed up, how many were new, how many came, and more. When it's on, it's fully automatic, with nothing to turn on and nothing to schedule.

Heads up: this feature isn't switched on yet. The recap email is built and ready but not yet sending for anyone. When it goes live it turns on for every church at once. This page explains what to expect so you'll recognize it when it starts.

When the recap arrives (once it's live)

  • The morning after your event ends, at 9am in the event's local time zone (normally your church's, unless that event was set to a different zone).
  • Only for one-off events. A repeating event, like a weekly service, does not get a recap, since a single "how it went" summary is meant for a one-time occasion.
  • Only when there's something to report. If an event had no sign-ups and no check-ins, no recap goes out.
  • Only for published events. Drafts are skipped.

You don't need to do anything to receive it. Churchday builds the recap and sends it on its own.

Who gets it

The recap goes to the same people who get that event's registration alerts. That's the event's notification list. If someone has opted out of that event's alerts, they won't get the recap either.

There is no separate on/off switch for recaps. To stop receiving recaps for an event, turn off that event's notifications, the same setting that controls its registration alerts.

What's inside

The recap gathers the numbers that matter and shows only the ones that apply to your event, so a small gathering and a packed conference each read cleanly. Depending on the event, you may see:

  • Total sign-ups. How many people registered.
  • New faces. How many of those had never been to one of your events before.
  • Attendance. How many people actually checked in.
  • Unique visitors. How many people viewed the event page.
  • Your biggest event. A note when this event drew more sign-ups than any you've hosted.
  • Reminder open rate. How many people opened the event's reminder emails.
  • Waiting list. How many people joined the waiting list, if you filled every seat.

The email also links straight back to the event, so you can see who came and follow up with your first-time guests.

Good to know

  • Nothing to set up. The recap is automatic for every event that qualifies.
  • The email adapts to your event. A section you don't see simply didn't apply. Churchday won't pad the recap with empty or zero numbers.
  • "New faces" means first-timers. These are people who signed up but had never registered for or checked into an earlier event at your church. For your church's very first event, this part is skipped.
