Assigning Volunteers to Dates

Once you have set up positions, you can assign specific people to serve on specific dates.

Before you begin

  • You need the Admin or Staff role.
  • The event must have at least one volunteer position defined.

Step-by-step

  1. Go to Schedule in the sidebar, or open an event and click the Schedule tab.

  2. Find the position and date. The schedule shows a grid with positions as rows and upcoming dates as columns.

  3. Click + Assign on the date slot you want to fill.

  4. Search for a volunteer. The picker shows team members for that position's team, along with:

    • Their name and email
    • Whether they have any unavailable dates that conflict
    • When they last served and when they next serve in this role
  5. Select the person. They are added to the slot with a "Pending" status.

Good to know

  • The schedule shows 4 weeks of dates at a time.
  • If someone has marked a date as unavailable (using blockout dates), you will see a conflict indicator when trying to assign them.
  • The system tracks when each person last served, helping you distribute the workload evenly.
  • You can remove an assignment by clicking the X on the volunteer's name.
