Understanding Roles and Permissions

Every person in Churchday has a role that controls what they can see and do. This keeps your data secure while letting the right people contribute.

The four roles

Admin

Full control over everything. Admins can create and delete events, manage all people, send emails, change settings, and manage billing. Best for: senior pastors, church administrators.

Staff

Can manage the day-to-day — creating events, editing member profiles, managing tags, and sending email campaigns. Cannot change organization settings or delete events. Best for: office staff, ministry coordinators.

Group Leader

Can view events and people, check in attendees, and suggest or approve events. Cannot create events directly or send emails. Best for: small group leaders, ministry leaders.

Member

Can view events and suggest new ones. Cannot access the people directory, email, or settings. Best for: church members who need basic access.

Good to know

  • Visitors (people not signed in) cannot access the dashboard at all.
  • You can change someone's role at any time from their member profile.
  • When in doubt, start with a lower role — you can always upgrade it later.
